Our Conference Team will use their extensive knowledge of the hotel and conference venue infrastructure in Ireland to find the best venue. Ireland has some of the best conferencing and event venues in the world, with the newly built Dublin Convention Centre and an abundance of conference space.
Our Conference Organisation Includes:
Housing, Venue Finding & Management: BEM Ireland will organise the venue for your conference, taking into account your flight times and the length of time needed for your particular conference. We work with hotel management to negotiate the best prices for your budget. Our Conference Team will personally carry out site inspections before the event and work with the hotel to ensure your requirements are dealt with accordingly. We are fully dedicated to providing great customer service so we make sure to guarantee that service and facility standards are up to par.
We stay in contact with venue management and staff to supply you with regular updates on the developments in your conference programme, food and beverage requirements, accommodation requirements and rooming lists. In time we will supply the venue with a schedule of your conference programme and all other on-site events.
Online & Pre-Conference Registration: You can now register online with BEM Ireland. We have an online brochure and registration form along with secure payment facilities. A separate bank account can be set up for Registration Payment if necessary. We handle every detail online, right down to the production of conference delegate badges. Registration can be returned online, by fax or by post, confirmation letters will be sent out to all registered delegates.
Ground Transportation Logistics: We work only with the best transportation providers in the country. Coaches are of the highest standard, the majority of which include executive leather seating, DVD players, on board Wi-Fi, air-conditioning and mini bar facilities. All of our coach and limousine drivers are professional and fully briefed in the code of ethics when dealing with conference delegates.
Meet & Greet Services: For all of our conferences, we analyse in advance, all arrival and departure details. We also make sure there is a friendly face to greet all of your guests. All conference delegates are informed of their transfer details to and from the conference venue well ahead of time to facilitate any changes or schedule conflicts. All delegates are provided with a mobile number to contact should they need assistance at any stage of the conference. Corporate & staff hospitality desks can be arranged at Airports, Hotels and Conference Venues where appropriate. BEM Ireland also provide personnel on site throughout the event to handle all delegate enquiries – giving you more time with your clients.
Conference Registration Desk & Event Hosting: BEM Ireland can provide you with trained Conference Registration Staff who will welcome your delegates and provide them with badges and conference packs. Staff are given a full schedule of events and are in a position to help delegates with all queries concerning the event, conference facilities and the surrounding areas.
Private & Themed Entertainment: All entertainment is arranged with the profile of the group in mind. We are capable of arranging an array of themed events including, but not limited to, Traditional Irish Nights, Black & White Balls, Oscar Awards Ceremonies, Western Nights, Grand Prix Events, Dine Arounds, Murder Mystery, all down to Interactive Team Building Activities customised for your company and delegate profile. Keeping within your budgetary requirements, we will source the best bands, actors and performance artists. BEM Ireland can arrange in-house entertainment at your conference venue and will also find you the best venues available for private hire, including private dining and receptions for you to impress your delegates and make it a unforgettable experience.
Conference Staging, Set Design & Exhibition Stands: BEM Ireland can arrange for the innovative design and manufacture of Conference Staging & Sets, Themed Evening Sets, 3-D Props & Exhibition Stands - subject to client requirements and budget. We are also happy to work in association with you and your preferred company.
Technical Requirements: We can arrange the hire of Projection, Sound, Lighting Equipment and Audio/Visual Conferencing Equipment. We can also arrange Computer Networking and Internet Cafes, Web-Casting, Simultaneous Interpretation Equipment, Editing & Graphics Facilities, Video Production Equipment, Directors and Camera Crews. BEM Ireland are also happy to work in association with your preferred production company to ensure your peace of mind.
